Graphic Production Coordinator / Executive Administrative Assistant

Responsibilities
NBBJ Seattle is seeking a highly qualified individual to serve a unique role as both a graphic production coordinator and an executive administrative assistant for its healthcare design practice. This role requires a split between coordination and production of presentations, market materials and other special projects, and administrative support for its busy healthcare partners. The ideal candidate will be adept in verbal, written and graphic communication, including editing and publishing documents and reports as well as a self-starter, proactive, well-organized and highly motivated to help support the firm’s healthcare practice.

• Support the administrative needs to key healthcare partners in Seattle
• Support coordination and production of practice building and conference materials with a keen graphic design sensibility – including agendas, presentations, reports, etc.
• Coordinate, proofread, edit, and assist in production and distribution of presentations and healthcare market materials
• Assist in meetings and workshops by taking, editing and distributing meeting notes, creating and organizing needed materials
• Produce complex charts, graphs, and data analysis using database programs and Excel
• Finalize letters, memos, meeting notes, transmittals, and reports as necessary
• Coordinate staff calendars and schedules through Outlook and assist with Expense Reports
• Schedule and coordinate meeting set-ups, conference rooms, catering, events
• Implement/maintain studio project set-up, central files, public folders & archiving procedures
• Arrange all business travel for healthcare partners
• Interface with various departments within the firm such as Facilities, Accounting, Finance, Legal, Marketing, IT, Travel and Human Resources on behalf of the healthcare partners
Qualifications
• Previous experience working in a professional services firm welcomed and desired
• Extraordinarily well organized, detail-oriented and able to work with diverse personalities
• Expert proficiency in Adobe Creative Suite (InDesign, Illustrator, Photoshop), and MS Office Suite (Excel, Word, PowerPoint) required; familiarity with client relationship management tools a plus
• Familiarity with conferencing technologies such as WebEx and video conferencing
• Excellent verbal, written and graphic design/communication skills
• Ability to take initiative and direction equally well; can work independently and collaboratively
• A self-starter with great initiative and absolute reliability
• Strong documentation skills (note taking etc.) and good follow-through with appropriate parties
• A “people person”: someone who is friendly and can help create and maintain a positive influence within the practice
• Education or degree in graphic design, communications, or design a plus
